1. Information We Collect

From Students

• Full name and email address
• Grade level
• Mood check-ins per class period
• Sleep logs and sleep quality ratings
• Energy level and hydration logs
• Weekly goals and tasks
• Private journal entries
• Class codes used to join a teacher's class
• Outside responsibilities if voluntarily entered

From Teachers

• Full name and email address
• School name and province or territory
• Class information including subject, schedule, and class codes
• School social worker contact information if voluntarily entered

What We Do Not Collect

WellSpace does not collect location data, device identifiers, IP addresses, browsing history, cookie tracking data, or any information beyond what is listed above.

2. How We Use Your Information

We use the information collected solely to:

• Create and maintain your account
• Sync your wellness data across devices via secure cloud storage
• Connect students to a teacher's class via class codes
• Display to teachers only the data a student has explicitly chosen to share
• Send password reset emails when requested by the user

We do not use personal information for advertising, profiling, marketing, or any commercial purpose.

5. Data Storage and Security

All user data is stored using Google Firebase, an industry-standard cloud platform operated by Google. Security measures include:

• All data transmitted over encrypted HTTPS connections
• Strict per-user Firestore security rules so each user's data is stored in an isolated private document with no cross-user access possible at the database level
• Passwords are managed entirely by Firebase Authentication using industry-standard encryption. WellSpace never stores, sees, or has access to user passwords
• No shared data blobs. Every user has their own isolated Firestore document

6. Compliance with Canadian Privacy Law

WellSpace complies with the Personal Information Protection and Electronic Documents Act (PIPEDA), Canada's federal private-sector privacy legislation. In accordance with PIPEDA, WellSpace:

• Collects only the minimum personal information necessary to operate the platform
• Obtains informed consent before collecting personal information via the Privacy Policy checkbox during account creation
• Allows individuals to access, correct, and delete their own personal information at any time
• Does not disclose personal information to third parties without consent
• Protects personal information using appropriate security safeguards

7. Your Rights

As a WellSpace user, you have the right to:

• Access all personal data we hold about you. Email wellspacewebsite@gmail.com to request a copy.
• Correct inaccurate information by updating it directly in your profile settings.
• Delete your data at any time by deleting your account in Profile settings. All data is permanently and immediately removed.
• Withdraw consent at any time by deleting your account.

8. Account Deletion and Data Retention

You may delete your account at any time from the Profile section of the app. Upon account deletion:

• Your Firebase Authentication account is permanently deleted
• Your personal Firestore data document is permanently deleted
• Your profile record is permanently removed from our database

WellSpace does not retain any personal data after account deletion. There is no backup or archive of deleted user data.

9. Third-Party Services

WellSpace uses the following third-party services to operate:

WellSpace does not use Google Analytics, Facebook Pixel, or any advertising tracking tools. No user data is sold to or shared with any data broker or advertiser.

10. Students and Minors

WellSpace is designed for use by high school students, including those under the age of 18. We take this responsibility seriously:

• We collect only the minimum data necessary to operate the platform
• Student data is private by default and is never shared without explicit student action
• We do not serve advertising to any users, including minors
• We do not share student data with third parties

Teachers and schools using WellSpace are responsible for obtaining appropriate parental or guardian consent in accordance with their school board's policies before directing students under 18 to create accounts.

11. Changes to This Policy

If we make material changes to this Privacy Policy, we will post a notice within the WellSpace application. Continued use of WellSpace after the effective date of any changes constitutes acceptance of the updated policy.
